A database is used for manipulating data and lists of data and processing information, like finding all the people born in a certain year, or the amount of people working in each department of a company, or the names of all the captains of a set of football teams.

Spreadsheets focus mainly on numerical analysis and manipulation. They are good for doing calculations and charts and doing things like forecasting trends and doing financial calculations. If it is nearly all numerical values, then a spreadsheet is usually better, but if you are looking for different kinds of data, like a list of names and addresses from a set, then it is better to use a database. Spreadsheets are much easier for doing calculations in. They are better for presenting financial data or any kind of numbers. They are good for getting anything that is purely to do with numbers.

spread sheet might not be called as database because we can define columns, insert data in those columns, remove data from those columns etc but when it comes for searching and sorting a large volume of data, use of spreadsheet is restricted.

Spreadsheets and Databases are two different applications, but there are things that both can do. Depending on the nature of some spreadsheets, they can actually also qualify to be databases. When you have sets of figures properly organised in columns, with headings at the top of them, so that all your data is in a block, then it can be like a database. Spreadsheet programs have functions and other features which allow you to do more database-type operations on the data you have. But not all spreadsheets are necessarily databases, because there is such a variety of things you can do with a spreadsheet. So it depends on what you are doing. If all spreadsheets were databases, then we would have no need for a spreadsheet program at all, so that in itself is evidence that they are not the same.

Yes. Many spreadsheets are actually laid out in such a way that they are like databases. Many of the things that can be done with a database can also be done with a spreadsheet. Both applications have a lot of functions in common. Spreadsheets come with a lot of databasing facilities that most people never use. If you trying to set up a very simple database, you could use a spreadsheet to do it. For something more complex, then you should use an actual database application.

Spreadsheets and databases are two different types of software. There are lots of things that both a spreadsheet and a database can do, which is why sometimes people are not sure of the difference or which to use. Spreadsheets are primarily for working with numbers, so for doing all kinds of calculations. They let you do a very wide range of things to do with numbers, almost anything you can think of. They have specialised functions for things like financial operations or statistics or mathematics, amongst others. Databases are more for lists of information, like names, addresses, phone numbers, gender etc. Much of what is in a database does not require calculations.

You can use a spreadsheet for simple databases, but you would use a database program, such as MS Access, for more complex databases like relational databases. In a spreadsheet, when you have sets of figures properly organised in columns, with headings at the top of them, so that all your data is in a block, then it can be like a database. However, a lot of the time when you are working with numbers, they won't be structured like tables. You will have lots of different calculations together, but independent of each other. You would not do that in a database. It is more suited to a spreadsheet. So for anything that is doing a large amount of work with numbers, then you would use a spreadsheet instead of a database.
