When something is encrypted, it appears different to what it actually is. This makes it more difficult to understand and so it is secure from anyone that you do not want to have it. A very simple encryption system would be to take any word and replace each letter with the letter that is after it in the alphabet. So "CAT" would become "DBU". Now it is harder to understand and more secure. That is a very simple encryption and real ones are far more complex and so very secure. If someone finds the data and don't know what the system is, they will find it hard to fix. The security system will allow authorised people to use it.

Encryption requires a key that can be generated in a wide variety of ways, but typically PBKDF2 that involves a salt and/or a IV over many iterations, then the key is used in a cipher that will encrypt your data.

Important files can be encrypted with the use of a program (many of which are free) then sent to others (as an e-mail attachement, or a stored file on a web storage site like 4Shared or OpenDrive. The decryption key can either be sent separately (which is not the safest, but is better than no encryption at all), or the recipiant can be made aware of the decryption key beforehand (preferably by personal conversation, so there is no digital record,) which is generally much safer.

using an encryption program, you can scramble the code which makes up the file(s) you want to secure using a complex process which varies based on a code entered at the time of encryption (a password). If you look at the encrypted file, it will make no sense. The code has been scrambled in such a way that no program can open it properly, nor does the code itself make sense. Only when the correct decryption process (algorithm) is used with the same code (password) can the file be reconstructed into meaningful information using a decryption program. Unlike when you use only a password to "lock" a file, the actual contents of the file are nearly useless until the password it used to decode it.
