EDMS or Electronic Document Management Systems is intended to hold all the documents in an organization, and thus the "Knowledge Base" that the company use. Increase the knowledge base for a decision, and we assume that the quality of the decision is assumed to be better. You "know" the basis and there is no guesswork.

The documents are organized in a way that the organization find suited, making it easy to find. It is then "abstracted' to allow those in the organization to associate the documents, and "aggregate" information, into higher level knowledge.

The quality of the "abstraction" is imperative to be able to use the knowledge in new contexts and enable better use. That brings into most EDMS the capability to document and support workflow, allowing all documents that are needed to reach a decision to be available when a decision is to be made. To study these workflow enables the organization to improve by changing the way things are done, maybe include other more relevant information (found by "associating" in the Knowledge Base).

The usual benefit is that no document is ever lost, that a laptop crashes will never cause the documents that the company needs. Further, that when you make a change, the old version is still available since not all changes are to the better. But add to this the ability to place it in a context, fully searchable. Bear in mind that for most engineers more than 30 percent of their time is spent looking for drawings, design and specifications. In old organizations, an engineer would spend more thn half of their time "looking for things" - here EDMS solves the problem.
