A mailmerge allows you to make multiple versions of the same letter. It also lets you to have some elements different, while having most of it constant. So quite commonly you would have the main text the same and a different address on each letter. Doing that without mail merge would mean typing the letter over and over and running the risk of mistakes getting it. You could type it once and the copy and paste it multiple times, but this would also be slow. So in one file you set up your data for the letter, such as names and addresses. Then you have the letter itself. Then you link the two together, putting in fields for the parts that are different for each letter. Running the mail merge will then create one copy for each set of data, without the user having to type the letter more than once. So you can quickly create letters or other documents that are personalised and used as circulars, making mail merge one of the most useful things a word processor can do.
