Generally, you should be able to approach your employer and informally ask for time off. However, if you have a formalised process you should include the following in your letter:

- The type of leave you are applying for. In most cases it will be annual leave.

- The Christmas period you are applying for. For example Christmas 2011 or 2012. Generally, it's a good idea to apply as far in advance as possible.

- The dates you would like off. For example, "I am requesting approval from Friday, xx December 2011 to Monday, xx January 2012 (inclusive)

- State the reason you would like the leave. It's important to make it as compelling as possible, especially if there are limited leave spots available and a high number of people wanting those spots. If you have not taken any leave throughout the year (or took minimal days) or did not take leave in the previous Christmas holiday, it is important to mention this. The more compelling you can make your case, the more likely you are to get your leave approved.

It also helps if you personally speak with your employer to explain why and to gain any feedback about the likelihood of it being approved so you can make plans in advance. It will also give you an opportunity to negotiate leave dates. For example, if it seems likely they will not approve, then try and negotiate other dates or shorten the leave period.

What is the meaning of 'annual leave'?

"Annual leave" is an amount of leave that an employer grants an employee on an annual basis. It is also know as Vacation Leave. There is a difference between Annual Leave and other types of leave such as Sick Leave, Bereavement Leave, Maternity Leave etc. Some employers give you an allowance upon your date of hire, and then renew the amount of Annual Leave on a specific date (usually the anniversary of the date of hire). This allows the employee to use their allowance of Annual Leave within the first few months if they wish. Other Employers use an acumulative basis whereby the employee earns a "pro-rata" basis each month.
