If you need to plan a large event or celebration, such as a family reunion or a wedding or even a company event, there are a few things to consider before choosing the ideal venue or location.

Budget

The most important aspect that affects all areas is your financial budget for the event. How much can you spend on the location? You have to budget for food, drink, decorations and more, depending on the type of event you are planning.

Location

First, check the availability of the venue to make sure that it is available for the planned date of your event.

Depending on the time of year, you need to decide if you want to have the event indoors or outdoors. Make sure you have a contingency plan if you are planning an outdoor event.

Is the location easily accessible from major roads and highways? You do not want your guests to get lost trying to find the location.

Think outside the box for available locations. For instance, a local winery may be a new and different location to host an outdoor summer event. You can take advantage of the local wines directly produced there and incorporate that into your event.

Amenities

Before you decide where to host your event, investigate the available amenities that are included when you rent a venue. Is there on site catering available or any sort of kitchen facilities? Confirm whether wine and beer or other liquor is allowed to be served there, if you are planning on serving those items.

When you rent a venue, sometimes all you are getting is an empty room. Check to see if any furniture is available with the facility or not. If not, then you may need to find a vendor that can provide any necessary items such as chairs, tables, banquet tables, etc.

What type of parking is available? Is valet service an option? If this is a formal event, you definitely do not want a dirt parking lot with no valet service. However, if your event is more along the lines of a family reunion barbeque, then parking is not an important issue.

Capacity

Check the maximum capacity allowed in the potential location to make sure that it can hold the expected number of guest you plan to have at your event.
