WHAT IS A DATA BASE AND
HOW DOES A DATABASE SYSTEM WORK?
A database is a collection of information organized so that the data base software in use can select specified pieces of data. Think of a data base as an electronic filing system. Some examples of data use includes:
Computerized library systems automated teller machines flight reservation systems Internal Revenue Service
inventory systems phone directory
A data base system offers you great flexibility in managing you data. To dramatize this point, let's refer to an inventory example similar to the one you may want to set up for your business, school, and club of home. Inventory is a good example of a database of a database because it involves the tracking of many separate categories of information. The inventory database has features that will allow you to:
¨ Add, update and delete information. Your information usually grows, and often changes. You will always be adding items to inventory, changing locations, and removing obsolete or damaged items.
¨ Generate lists and reports. You could create a report of all items, broken down by location, which could be periodically checked to track losses.
¨ Organize your information into logical categories. Your inventory, for instance, can be broken down into item, class (class of information), manufacturer, model, serial number, cost, purchase date, warranty, location, ect.
¨ Search information by any category under a variety of conditions.
¨ Sort information by any category. You could rearrange your data by any of the categories.
