What are the advantages and disadvantages of using a payroll service bureau against processing payroll in-house?

Here are a few of my observations: Advantages of using payroll service bureau: The payroll company is on top of the most current laws and regulations. You do not have to sign all the checks. The employer taxation and employee taxation calculations are done for you - you don't have to have an accounting degree to figure that out. The service can pay your taxes for you. The payroll service will retain records for your payroll needs. Disadvantage of using payroll service bureau: Some service bureaus will charge the employer each time they make a call, request a report, ask for a copy of a check etc. There would be a cost each time the W-2s are processed for the year as well as a cost for a copy of the W-2s. There is a fee involved in hoping that the service bureau is doing everything to support your needs. The service does not back the employer should there be a federal, state, unemployment, or workers comp investigation. Advantages of processing payroll in house: you are in charge of when the business money will be debited from your account; you own the process; you do not pay fees to a payroll service. Disadvantage of processing payroll in house: it takes time from you doing your own business; you have to be an expert in federal and state payroll laws; someone in your company has to process the payroll taxes on time, every time. You have to keep accurate and up to date records. You should have retained counsel in case of an employee suing you. Try a different kind of payroll service where the burden of being the employer of record is retained by Administaff so you have time to take care of your business. www.administaff.com

How are companies cutting payroll costs?

Companies now have mutual agreements with banks to pay a percentage and receive a payroll account that allows employee's to use for free. This is called direct deposit, what most people do not know. That's why banks allow for free accounts, as long as the consumer has direct deposit setup. Both parties make money just for that one action. Payroll costs are cut in this way because there is no production of paper, or postal service fees for mailing. W-2's are now being used in the same manner. Everything will become electronic after a period of time.

Do You Need A Payroll Service?

Whether you have a small, mid-size, or large company, you can benefit from using a payroll service. Using an outside service for your payroll needs can reduce your staffing needs or cut back on the work load of your current staff. All companies are looking at ways to streamline their operations and be more efficient, sometimes to the detriment of their staff and the company. When each of your staff members are doing the work of two or three people in order to save money, it is time to look for creative solutions. Loyal employees are willing to pitch in and do whatever is needed for a limited time, but sooner or later burn out happens. By using an outside payroll service, you can retain the loyalty of your staff, take care of your business needs, and still save money. Most companies or individuals offering payroll services are willing to cater to your needs. Only using services that will maintain quality and efficiency, and save you money is the smart way to good. Now is not the time to add on extra services for the convenience. You can decide whether your employee will enter the hours and time sheet information for each employee or if you will pay the service to do this. If the hours are entered in-house, the payroll service will receive that information electronically, calculate the pay and taxes, then create, sort, and deliver the checks to you. You will also need to decide if you want the service to file and pay the state and federal payroll taxes for you or will you do that yourself. Or if you want the service to do everything, they can do that too. Many payroll service companies also offer employee benefit and human resources services as well. If you are looking to utilize outside services in addition to your payroll services, it is a good idea to find one company that is successful at offering all the services you need. This company will become familiar with you, your company, and your employees. Establishing a strong working relationship is essential when working with outside services to eliminate errors easily caused by miscommunications. So if you think a payroll service might be right for your company, do your research and work with your staff to ensure you hire a service that is the right fit.

Can you demand a copy of your payroll?

You can request a copy of your check. However, if it goes back more than record keeping, you may have to get the numbers a different way. Most companies keep payroll records for five years.
