Job Summary:

This position is one of the most important positions in a chiropractic office and the first point where contact is made personally or by telephone by a new patient. The person will receive the patient and direct them to the services needed. Making appointments and making preliminary assessment category of payment for patients are essential before the doctor can see them.

Job Duties:

1. Welcome patients as they contact the center personally or by telephone, and explain the services available, payment categories, and billing procedures.

2. Schedule appointments; direct walk-in patients and emergencies as per established policies and procedures.

3. Answer all incoming calls and route them to the appropriate staff. Doctor should only be interrupted for phone calls if prior authorization has been given.

4. Register all patients per registration protocols and collect all documentation.

5. Generate encounter forms for each patient, and assure that all services provided have been checked out properly.

6. Reviews and verifies patient coverage of insurance with tracking of required

7. Collects case plan fees or co-pays/deductibles prior to the patient being seen by the provider per established policies and procedures. Inform patient of their outstanding balance, collect said balance, and issue cash receipt when monies are collected.

8. Work closely with Doctor, Chiropractic Therapy Assistants, Massage Therapists and Billing Staff to assure smooth patient flow and keep waiting time less than 15 minutes.

9. Call and remind patient of his/her appointment.

10. Follow up on "no show" patients on a daily basis.

11. Communicate patient's problem/complaint to the office manager or his/her designee.

12. Other related duties as the job requires such as:

a. Maintaining Patient traffic flow in the office.

b. Computer Data Entry

c. Maintaining Accurate Chart Files

d. Pulls Daily Patient treatment charts

e. Preparing new patient charts

f. Follow-up with patient after first visit/adjustment

g. Sending new patient letters and welcome kits

h. Assisting with Insurance Verification

i. Setting up financial agreement with patients

j. Preparing Daily Transaction Reports

k. Reactivation Calls or Cards

l. Understanding of Chiropractic Terminology

m. Supporting the doctor's office and practice goals
