If for any reason your computer stops working and you cannot recover your files, you have a backup server. At the same time if you are switching to a new computer it is much more convenient than manually transferring the files

Backing exceeds important its actually vital. Data created, input and system changes are what the computer requires to function in the tasks assigned to it through the applications used. If data is not backed up and a system failure occurs days, months and even years of work are potentially lost. In businesses when the work on a computer has been completed it would be incredibly costly to input all the information back to when the system failed. Added to this is the fact that many departments could not function without the computers fully operational and trade loss would be huge.

For the lay person.

Back ups protect you from losing data -- and the time/effort it it took to create it originally. In some cases it is wise/necessary to document successive versions of files as/if they are changed. Also data stored directly on the computer hard drive runs a risk of being damaged, erased, victimized by virus, etc.

Often a backup is just a copy of a file stored on the computer's hard-drive, (sometimes called "primary storage"). More secure backups are those where data is copied to some removable media (secondary storage): external drive, thumb drive, CD, etc., which can then be physically stored in a more secure place -- preferably an off-site location, such as a safety deposit box. Should the computer be stolen or permanently damaged, these off-site copies can be retrieved and used.

How much to back up? When to back up? There is a lot of "back up policy" information available for businesses. These are my recommendations for individuals... Base your decision on questions like these:

1) Which data is important to you -- that you would not care to lose?

2) How frequently you enter or change important data?

3) How much important data you enter or change during that period?

4) How difficult or impossible it would be to re-create it (are there paper copies from which it could be recreated?

5) How long it would take to re-create it.

6) What data is your own creative or intellectual creation? (irreplaceable if lost)

7) Does any information (including photos, etc.) have family historical value or sentimental value (irreplaceable if lost).

8) Is the data financial or covered by statute? (must be protected).

9) Is the data business related? Refer to "commercial backup policy" articles online.

a) Irreplaceable data should be backed up every time it is added to or edited on removable media.

b) Hard copy, re-creatable data , i.e., purchase receipts, is often backed up daily or weekly. Schedule your frequency based on the least amount of time you are willing to use (or pay for) to re-create it.

c) Most backup software programs will let you specify a setting such as "back up every file changed or created since a specific date". This works well for your all changed data backups for which a monthly schedule often is appropriate.

d) Every six months/year it is a good idea to back up ALL data files on your computer as of that date.

Backup and recovery systems are very important and data that is only kept in one place could be lost permanently if that place was damaged or destroyed. Data and document can be backed up to an external hard drive or on the "cloud", ie the internet.
