An effective exhibition stand can be created with the use off the correct supplies. What supplies you would need would depend on the theme.
Keep it simple and polite. Try and include some educational benefits as reasons for doing so. And you could describe the exhibition, where it is, etc. For example, something like this: Dear Mr/Mrs <Surname> Class <name of class> would like to participate in the <name of arts of crafts exhibition>, which takes place at <location> on <date>. We'd like to do this because <benefits of doing this>. Would you please consider allowing us to do so? Kind regards <your name>, on behalf of <class name> If there are any teachers who support your participation in the exhibition, you could ask them for advice as well, or they could write the letter on your behalf, or they might have some other process to apply for permission.

A couple of ways to obtain an exhibition display would be at the local coffee shops, restaurants and small theaters. That may not be the style of exhibition your looking for but it is easy to set up, easy to get accepted and gives a fair amount of exposure.
