Job Description

Document management specialists handle and receive the flow of documents from outside and internal sources. They ensure accurate and timely transfer of documents to the appropriate location. They audit documents and enter information submitted on documentation into various applications to track the process. They review all claims correspondence to determine action required to resolve, including acknowledging receipts, analyzing documents, and logging issues into a database to route to the proper department for resolution.

Document management specialists also need to work with office equipment and machinery, including imaging scanners. They monitor scanning batch processing and maintenance and create data files from scanned images. They must also review document types in order to sort them online into electronic files, and they may need to transfer files into different formats as necessary.

Education and Training

A high school diploma or a GED are required in order to find employment as a document management specialist, but a bachelor’s degree may be required depending upon the organization of employment. Data entry experience is required, as well as a reasonable typing speed. Employees in this career field should also be able to work with a high degree of accuracy and have a low rate of error when entering data information into the computer system. A successful document management specialist will also have a clear understanding of documentation types and definitions.

Salary

The salary of a document management specialist will be dependent upon the type of organization and number of years of experience. Those with little experience may begin as a document specialist and may be paid hourly, receiving anywhere from $12 to $15 an hour. Document management specialists at larger organizations may make more, such as employees at Mutual of America, who make $35,316 on average per year, and employees at Wells Fargo, who bring in about $44,000 annually.
