First, know the person's name -- who do you want to read your Thank-you Note?

Second, take scratch paper and write down a few key points that you want to include.

Third, write a first draft that includes your key points. Keep it short and professional. Don't use texting abbreviations or online shorthand. Pick mature / professional words. For example, instead of saying "You're cool!" say something like, "Your guidance has been very meaningful to me."

Fourth, write your note (do not type it) and start the note with Dear Mr. (or Mrs. or Ms.) then the person's last name (then a comma).

Fifth, start your actual note, just like you'd write a letter. Indent the first word of each paragraph. Use a separate paragraph for each area of thought. A paragraph might only be two sentences long, but on a short note-card you won't have much room anyway.

Sixth, end your Thank-you by saying, "Thank-you again." Then drop a line down and sign your name.

Here is an example. I can't indent the first word of each paragraph because of the limits of this website's formatting.

Dear Mrs. (her last name),

I wanted to thank you for recommending me to attend the "Increase Your Managing Abilities Seminar" held in Chicago January 19, 2011. I know the company could only send two employees, and I really appreciated having this opportunity to learn and to grow. I identified several points from the seminar that I plan to start using in my daily work.

It's meant a lot to me to know you believe in me. I believe my work skills have improved with your guidance and help, and I look forward to learning even more.

Again, thank-you for allowing me to take advantage of this special opportunity.
