In Human Resources, Civil Subpoenas with Duces Tecum are served on a company to get copies or to review documents including Employee Personnel files, Payroll records, Disciplinary actions and general information. The requests are often part of a divorce or child support case. One should take caution to protect ones employee from attempts to dig up dirt on someone. Many times a personnel file has documents in it that do not belong in a Personnel File. When responding to a Subpoena you should only supply the information that is requested. If they do not ask for benefits information (should be in a file separate from the Personnel File) do not send it.

What are the legal guidelines when giving a reference on a former employee to a potential employer in Indiana?
Check with your Department of Labor. Some states, like Michigan, have a law that protects employers when giving a reference, but there are some stipulations. The information must be truthful and not misleading, and must not violate any state or federal laws. FYI - Keep reference checks in a separate file from the employees' personnel file and keep in mind the employee has a legal right to see his/her references (they actually have a right to review their entire personnel file at least once a year and may request a copy of the file's contents). The company may set the number of times a year the employee may view their file - usually once or twice. And the employer may have a rule that the request be in writing and will give the employer up to one week to comply. I always sat in the room with the employee while they were looking through their file.

File access methods explain?
A serial access file has data stored on it in the order in which it was written. Each new record goes at the end of the file. To read a record from the file it is necessary to read through all the preceding records first. A sequential access file has data stored on it in the order of the data in a key field. A direct access file is one where any record can be accessed without having to access other records first. This is also known as random access.
How do you add text files to a MS Access database?
There are two methods to add a text file to a MS access Database. 1) Link the text file. Go to File/Get External Data/ Link Tables. In the link file screen change the file type to Text file and then browse to the text file and select your text file. MS Access will prompt you to give the specs of the file when you are linking it. 2) Import the file to an access table. Go To File/Get external Data/ Import. In the screen change the file type at the bottom to text, and select your text file.
