PST file can be come very big, and in a corporate environment they need to be backed up in a seamless manner. That means backup even if Outlook is open, and fast, which translates into incremental backup.

Use the backup feature under Start>programs>accessories>system tools>backup. Just follow the instructions and it will ask you if you want to backup favorites, email and data. There is also an option to backup whatever file you choose, if you just want email.

PST files Microsoft storage files. Always use this file when your Outlook is closed. Never try to access the pst file when your outlook is OPENED.

You can keep backup of your PST file in easy steps:

  • Go in the Outlook folder in Windows Explorer.
  • Then highlight all the files that end in .pst file name.

  • Then select Edit/Copy from to copy the selected files.
  • Then open the folder where you want to put the backup copies in Explorer.
  • This should be done on other on a removable disk or on a different hard disk.
  • Select edit or paste to paste your .pst files at the backup location.

Steps to create Outlook Data File (PST) varies in different version of Microsoft Outlook.

Create Outlook PST File in Outlook 2003 & 2007:

File >> Data File Management >> Data Files (tab) >> Add (button) >> Choose the type of Outlook Data File

Create Outlook PST File in Outlook 2010 & 2013:

File >> Account Settings >> Account Settings >> Data Files (tab) >> Add (button) >> Choose the type of Outlook Data File

Note: Outlook offers two types of file format (ANSI and UNICODE) to create a PST file.

After selecting the type of Outlook PST File (ANSI or UNICODE), give it name and save it at desired location.

No need to import a PST into Outlook to view it.

Just go to

File/open/Outlook Data File

and select the .PST file in question. You can then browse through the file structure and manually move/copy any information between mailbox and .pst(s)
