When writing a personal letter to the English department about your writting (sic) skills, you need to show attention to detail such as: spelling (writing, not writting), capitalization, punctuation, etc.

For your letter, organize your thoughts into 3 or 4 major points. You could also do a creative writing piece to submit. For either one, organize your major points in one paragraph for each item, with a couple supporting arguments. If your letter//essay focuses only on the "writing process", make sure you cover the major points to good writing: outline, thesis statement, writing first draft, revision, re-draft, checking spelling and sentence structure, concluding point.

the first is the phatic stage (from the Greek "phases" meaning 'utterance'). it begins with a "Hi!" or a "Hello! how are you?", good morning or even a simple 'namaste' or 'vanakkam'. the accompanying gestures are the meeting of the eyes, a smile, perhaps a handshake, and moving in closer to a talking distance whereas in formal encounter the distance is greater. the conversation may continue with further queries about the weather or like 'how is life' , 'how are things with the news', etc., the phatic stage is therefore a warming up stage.

the second is the 'personal stage' which introduces a more personal element into the convo. having moved to this stage we are likely to be willing to talk about our family, profession, health problems. most business communication takes place at this level beacuse professional discussions involves personal interests.

the third stage is the "intimate stage" which is reserved for friends and relatives, the degree of intimacy depending upon the closeness of the people. interpersonal communication achieves it greatest form at this stage as the social barrier falls and people tend to open out their hearts completely.

A personal letter used for official purposes becomes by definition a "business letter". It should include your street address, city/state and zip code and today's date on 3 lines, top right. Skip two lines. On the left, the receiver's full name, business address, city/state/zip code. Skip two lines. Dear (Ms. Last Name) or Mrs. or Mr. Skip two lines.

Begin the body of your letter next. "Explanation" letters should be short and to the point. It should express FACTS without stating a bunch of worthless reasons.

After that paragraph, skip 2 lines, write "Sincerely" comma. Skip 4 to 6 lines (6 for handwritten) and in that big space, WRITE your name. Skip a line or 2. Now PRINT your name.
